Due to high demand, we can no longer offer any accommodation for the meeting. However, Glasgow University has its own accommodation booking facility, independent of the BES, which offers a range of rooms at a range of prices on a range of dates. You may book directly through the university via telephone +44 (0)141 330 4116/2318 or email vacationaccom@gla.ac.uk Some accommodation offered through this service may not be in close proximity to the university – please check before you book.

If you are a student member, you can claim back £20.00 per night from the cost of your independently booked accommodation (50% of the cost of a BES offered room). To be eligible for this reimbursement, you must retain your receipts and contact our Finance Officer (Jim@BritishEcologicalSociety.org) for a claim form.

Please be aware that if you book accommodation directly through the university, you will still have to register to attend the meeting.

GUIDANCE NOTES

The Annual Meeting will run from 09.00 on Monday 10 September to early afternoon of Wednesday 9 September. There will be a free Civic Reception Welcome Mixer for delegates on the evening of Sunday 9 September at the Kelvingrove Art Gallery; please tick the appropriate box on the booking form if you intend to attend.

The STUDENT SESSION preceding the Annual Meeting will be held on Sunday 9 September. The day starts with a plenary lecture followed by talks and posters presented by STUDENT delegates. The formal programme will conclude with a CV and Careers Clinic before joining the main meeting's Welcome Mixer. To submit an abstract, look out for links on the BES website. If you are interested in receiving feedback on your CV from established ecologists, send it as an attachment to sarah@britishecologicalsociety.org. State what sector you are interested in working in (e.g. research, NGOs, consultancy etc.) and we will try and match you to a relevant person on the panel. You will receive written feedback on the day and all delegates will be able to participate in the CV and Careers Clinic. Only 20 CVs can be accepted so it operates on a first come, first served basis.

Everyone who wishes to attend the meeting, including speakers and oral or poster presenters, must register. No bookings will be processed without full payment.

Registration prices are: Members £85, Non members £155, Students £45. There is an Early Bird discounted rate if you book online before 18 May 2007.

BES Membership costs £35 or £20 for students, retired or for people from reduced rate countries. Benefits include subsidised Journal subscriptions, 20% off Blackwell Publishing titles, member-only grants as well as reduced registration fees. Membership forms are available from the BES website.

Non-members who return a membership form with payment of subscription fees for 2007/2008, together with the meeting booking, will be eligible for the Members’ registration fee.

Day registration, costing £55 per person per day, is available from the Registration Desk during the meeting, but anyone who wishes to book meals and/or accommodation must book in advance.

If your institution is issuing a cheque for payment, do not rely on your Finance Office to forward your booking form to the BES. On many occasions finance officers have failed to send us forms, which results in obvious problems.

We endeavour to process booking submissions within two weeks of receipt. A letter of confirmation and joining instructions will be sent to you; if you have not heard from the Office within two weeks of submission, or there is anything needing alteration, please contact the Office as soon as possible. Please check your confirmation letter carefully. You should keep a copy of the completed form for your records. Send your booking form by one method only, do not send copies via both mail and fax.

MEALS & ACCOMMODATION

Breakfast is included in the price of accommodation. The number of ensuite rooms is limited and bookings are dealt with in order of receipt.

Dinners will NOT be available on campus, but there are many restaurants and cafes a short distance from the university. Lunch will be bagged and include a sandwich, soft drink, crisps and fruit. The meeting will finish around lunchtime on Wednesday 12 September, so there is no lunch available on that day.

STUDENT SUPPORT

Only BES Student Members are eligible for a reduction in registration fees and 50% discount on lunch and accommodation costs, but NOT on the Student Session before the Annual Meeting.

ABSTRACT SUBMISSION

The deadline for poster and oral abstract submission is 20 April 2007. If you are submitting abstracts to the meeting, you must complete a booking form. See the BES website for full details.
